What do we use the information for?

We use this information to deliver:

  • Construction procurement exercises

  • To hold all documents used in the procurement exercise including issued tender documents and tender submissions

  • To hold details of communications between East Riding of Yorkshire Council and tendering organisations or those considering submitting a tender

  • To maintain an audit trail of the procurement exercise including documents and communications.

What information do we hold and use?

We collect and process the following information:

  • Curriculum Vitae (CVs) including name, qualifications and work experience.

On what grounds do we use the information?

Information is processed on the basis that you give consent to the processing of your personal data.

Information submitted via YORtender is used in the assessment of tenders.

How do we collect this information?

Information is collected via the YORtender portal for specific procurement exercises. The information is held on the YORtender system for up to 30 years.

Who do we share your information with?

For regional procurement exercises, for example YORbuild framework, YORcivil framework, information is shared with other authorities forming part of the procurement team to enable tender assessment to be carried out.

How long do we store it and is it secure?

The council has retention schedules in place to ensure that information is only held for as long as it is needed. For information on how long your information will be held visit the retention explained page.

Procurement information may be retained for up to thirty years to satisfy the requirements of some funding agencies such as the European Regional Development Fund (ERDF). All submitted information is retained to maintain a robust audit trail.

What rights do you have?

The rights that you have depend upon the grounds upon which your information is collected. All of the rights you could have are outlined on the data protection rights page. In most cases, people who have been involved with YORtender will have the following rights:

  • The right of access - You are entitled to see the information Infrastructure and Facilities holds about you and can request a copy by emailing: data.protection@eastriding.gcsx.gov.uk

  • The right to be informed - You are entitled to be informed about the collection and use of your personal data.

  • The right to object - Should you wish to object please email: construction.management@eastriding.gov.uk with the reason for your request.
